At Botany Indoor Car Boot, we are committed to providing a safe, well-organized, and enjoyable environment for all stallholders, visitors, and staff. These policies ensure the smooth operation of the facility, uphold standards, and maintain safety. Compliance with these policies is mandatory, and non-compliance may result in penalties, including eviction.
1. Liability Policy
Botany Indoor Car Boot accepts no responsibility for any loss, damage, or theft of goods brought onto the premises. Stallholders participate at their own risk and are encouraged to obtain insurance coverage for their items. The management’s decisions on disputes are final and non-negotiable.
2. Waste Management Policy
- Café and general consumer waste must be disposed of in the bins provided on-site.
- Stallholders must take all their waste away at the end of each trading day, as there are no facilities on-site for stallholder rubbish disposal. Illegal dumping (fly-tipping) is strictly prohibited and monitored by CCTV. Offenders will incur charges for any cleanup required.
- A two-week grace period is available for the removal of any items left behind, provided there is a prior arrangement through prepaid booking. After this period, uncollected items will be disposed of without further notice. Stallholders should bring appropriate bags or containers for waste removal.
3. Fire Safety Policy
- Stallholders must keep within the designated boundaries to ensure aisles remain clear for fire safety and evacuation. Any items that exceed these boundaries will be confiscated, and a £5 penalty will be applied for retrieval, with proceeds going to charity.
- Flammable items, compressed gas cans, and similar hazardous goods may be sold but must be removed from the premises at the end of each trading day.
- On non-event days, all stallholders are required to sign in and out of the fire safety register to gain entry to the building. This ensures accurate records are maintained for emergency purposes.
- Emergency exits must be kept clear at all times. Any obstruction will be addressed immediately, and non-compliance may result in penalties.
4. Payment Policy
- Stall fees must be paid in advance, either on the trading day or weeks before, depending on the payment arrangement.
- Late payments on the day will not be accepted. A three-strike policy is in place for payment violations; accumulating three strikes will result in eviction.
- If stallholders accrue arrears, they must clear the balance within four weeks. Failure to pay will result in the stall’s contents being boxed and stored. If payment is not made after an additional period in storage, the goods will be removed. If the arrears are paid, the stallholder must collect their belongings and will no longer be allowed to trade.
5. Non-Attendance Policy
- Stalls must be paid for even if the stallholder is absent. The only exceptions to this policy are cases of bereavement or hospitalization, where fees may be waived.
- A two-week holiday relief is offered, during which stallholders are not required to pay for their stall. Beyond this relief period, payment remains mandatory to retain the stall space.
6. Attendance Policy
- Stallholders must maintain a minimum attendance rate of 70%. Falling below this threshold will result in warnings, and further non-compliance may lead to eviction. Consistent attendance is essential for maintaining the reputation and quality standards of Botany Indoor Car Boot.
7. Goods Storage Policy
- To leave goods behind, stallholders must complete a contact form, providing their name, address, contact number, and optional email address. This ensures proper records are maintained for follow-up if needed.
- Goods left without a completed contact form may be disposed of at the management’s discretion.
8. Stall Management and Space Allocation Policy
- Stallholders must confine their setup to the designated boundaries. Any encroachment into aisles or neighboring spaces is prohibited to ensure fire safety and smooth navigation throughout the facility.
- Items placed beyond the allocated boundaries will be confiscated. A £5 fee will be required for the retrieval of confiscated items, with the penalty donated to charity.
- Failure to adhere to the allocated space may also result in additional charges or loss of trading privileges.
9. Prohibited Items and Conduct Policy
- The sale of illegal items, substances, weapons, counterfeit goods, or any offensive materials is strictly prohibited.
- Age-restricted products, such as sharp objects, must be securely stored in protective sleeves or blocks and kept out of the reach of minors. Vendors must follow Challenge 25 guidelines for the sale of age-restricted items.
- Smoking (including e-cigarettes) and the consumption of alcohol are not permitted inside the building. Any person found engaging in these activities will be asked to leave without compensation.
- Botany Indoor Car Boot reserves the right to refuse entry to anyone displaying abusive or drunken behavior, regardless of whether an entry fee has been paid.
10. Goods Sold at the Fair Policy
- Botany Indoor Car Boot does not accept responsibility for any items bought or sold at the event. All transactions are conducted at the buyer’s and seller's risk. Customers are encouraged to thoroughly inspect items before purchase to ensure they meet their expectations.
- Disputes between buyers and sellers are to be resolved independently without involving management.
11. Parking and Traffic Management Policy
- Parking is allowed only in designated areas, and vehicles must not obstruct entryways, emergency exits, or other restricted zones. Vehicles found in violation will be subject to fines or towing.
- All traffic rules must be observed to maintain safety and accessibility on the premises.
12. Security and Surveillance Policy
- The premises are monitored by CCTV to ensure the safety and security of stallholders, visitors, and staff. Any suspicious activities should be reported to management or security personnel immediately.
- Unauthorized access to restricted areas is prohibited, and violators will face consequences as deemed appropriate by management.
13. Water Ingress and Maintenance Policy
- While Botany Indoor Car Boot strives to maintain a dry environment, it is important to note that the landlord is responsible for addressing issues related to the faulty roof. Routine maintenance is conducted to minimize water ingress and associated risks.
- The management performs regular inspections of roofing and drainage systems to prevent any potential damage and ensure safety standards are met.
14. Refund Policy
- Refunds for stall bookings are not issued unless there are special circumstances approved by management. Failure to occupy a reserved stall will result in the forfeiture of any fees paid.
